Identity documents will be requested only where necessary and at the appropriate stage of the recruitment process. Where the GDPR requires additional information because data were obtained indirectly, Movu will provide it within the applicable period unless an exception applies.
Ordinary recruitment processing is based on steps requested before entering into an employment contract, Movu’s legitimate interests in recruiting suitable personnel, and legal obligations where applicable. Separate, freely given consent may be requested for an optional recruitment reserve. Unsuccessful applications are retained for six months after the recruitment process. Recruitment-reserve data are retained for one year or until consent is withdrawn, whichever occurs first. Legal bases
Depending on the processing activity, Movu relies on: (i) steps requested before entering into a contract; (ii) compliance with a legal obligation; (iii) Movu’s legitimate interests, including responding to enquiries, managing business relationships, operating and securing the website, recruitment, and establishing, exercising or defending legal claims; or (iv) consent, including for optional analytics, newsletters or an optional recruitment reserve where required. Where Movu relies on legitimate interests, it assesses those interests against the rights and freedoms of the persons concerned.
Recipients
Where necessary for the purposes described in this Privacy Policy, personal data may be disclosed to authorised Movu personnel and other entities within the Stow Group, including Stow International NV and its affiliated companies, where such disclosure is necessary for the legitimate operation of the Group and the purposes described in this Privacy Policy, including customer and supplier relationship management, group reporting, business administration and operational support. International transfers
Some recipients or their support teams may be located outside the European Economic Area (“EEA”) or may access personal data from outside the EEA. Further information about applicable safeguards may be requested through the privacy contact.
5. Retention period
Movu retains personal data only for as long as necessary for the relevant purpose and in accordance with its approved retention schedule. Website and security logs are retained for a minimum of 12 months, and for as long thereafter as an incident, investigation, audit, regulatory inquiry or legal hold remains open. Contact enquiries are retained for 12 months after closure, unless a longer period is required for a contract, legal obligation or claim. Analytics and cookie data are retained for the periods stated in the Cookie Policy and consent tool. Newsletter data are retained until consent is withdrawn or the subscription ends, subject to a limited suppression record. Unsuccessful recruitment files are retained for six months; recruitment-reserve data for one year; and legal or compliance records for the applicable statutory or limitation period. Data are then deleted, anonymised or securely destroyed unless continued retention is legally required.
6. Rights
Subject to the conditions and limitations of applicable law, you may exercise the rights described below. These rights are not absolute, and Movu may refuse or limit a request where permitted by law and will explain the applicable reason.

You may ask Movu to correct inaccurate or incomplete personal data, erase personal data where the legal conditions are met, or restrict processing in the circumstances provided by the GDPR.
Right to object
You may object to processing based on legitimate interests. Movu will cease that processing unless it demonstrates compelling legitimate grounds that override your interests, rights and freedoms, or the processing is required for legal claims. You may object to direct marketing at any time without giving reasons.
Automated decision-making and profiling
Movu does not currently use the personal data covered by this Privacy Policy to make decisions based solely on automated processing that produce legal effects or similarly significantly affect you.
Right to withdraw consent
Where processing is based on consent, you may withdraw that consent at any time, without affecting the lawfulness of processing carried out before withdrawal.
Right to data portability
Where the legal conditions are met, you may receive personal data you provided to Movu in a structured, commonly used and machine-readable format and request transmission to another controller.
Exercising your rights
You may exercise your rights using the contact details above. Movu will respond without undue delay and in principle within one month. Where permitted by law, this period may be extended by up to two additional months, taking account of the complexity and number of requests. Movu will inform you of any extension and the reasons within the initial one-month period. Movu may request additional information where reasonably necessary to verify your identity. Requests are generally free of charge, subject to the exceptions permitted by the GDPR.

Where required, Movu will provide appropriate information about such disclosure.
8. Security and confidentiality
Movu implements appropriate technical and organisational measures designed to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure of, or access to personal data. Measures are selected taking account of the nature, scope, context and purposes of processing and the risks to individuals, and are reviewed as appropriate. For security reasons, Movu may provide information about these measures at an appropriate level of detail without disclosing information that could compromise the security of its systems or the rights of others. No website or internet transmission can be guaranteed to be completely secure.
9. Modifications
Movu may update this Privacy Policy to reflect changes in its processing activities, legal requirements or organisational measures. The current version will be published on the website with its effective date. Where a change materially affects individuals, Movu will take reasonable steps to provide an appropriate additional notice before the change takes effect, where required.
